Highlights:
Ø
Not
able to vote on any motions due to having only one officer present
The
meeting was called to order by Doug
Dahl. Per By-laws (need 2 officers to
have a quorum); meeting was held but could not vote. Many thanks to Joyce Glenn for acting as Secretary Pro Tem!
v
MINUTES:
Motion: To approve the minutes of June 13, 2003 with the following
corrections: Joyce’s rep
report not
included (not received!!); only Doug & Joan can sign checks. Motion by Harlan, 2nd by
Larry.
v
JUNE FINANCIAL STATEMENT/FINANCE COMMITTEE:
Doug handed out the monthly and year end financial
report. The year end Quick book files
closed as of June 30th; files archived as of June 20th
and 2 CD copies were made for Doug and the tax CPA. Contacted tax CPA to award year end review and tax preparation
for $1750-3500 depending on the time required.
All equipment and materials have been moved to Doug’s home; set up and
finally organized enough to start work.
Quick books and company files loaded onto Doug’s AKCA computer; Doug has
completed the 2 day Quick books tutorial class. New Company list of accounts and QBB files delivered to Doug by
Michael Pomerleau with 2 hours of uploading and training provided. List of accounts is provided to the AKCA
Board for review. There is only 1
company now with separate entities for AKCA, KOI USA, Bookstore and
Seminar. This is much more CFO user
friendly than the 3 separate companies used earlier. Seminar bank account
closed at Jackson Federal and merged into AKCA BofA bank account under Seminar.
We still have separate Union Bank account for KOI USA for the
present. Doug has appointment with
Union Bank to turn in new signature authorization card for Doug and Joan on
Monday. Doug will also visit BofA to do
the same on Monday so checks can be written to pay bills. All bills and income are up to date in Quick
books as of July 7th and Jackie has agreed for the remainder of July
to help Doug come up to speed on Quick books software. Doug told Kim not to send any Bookstore
materials without payment by check or credit card even to dealers or to
clubs. Doug will maintain the bookstore
inventory in the AKCA company Quick books file and has requested a physical
inventory count by August end.
COMMITTEE REPORTS:
v
SCIENTIFIC: Burt reported that there is
someone who wants to be in the program; a wife of a koi dealer. Could we get in a lawsuit because of her
actions as she basically represents her husbands business?? Motion: That Spike not allow the woman in question
into the KHA program. Motion by Doug, 2nd
by Joyce
Page 2
v
PUBLICATION: Joyce stated that they have
two new people joining them to help review articles: Bob Brudd, from Orland
Park, Illinois, and David Jones, from Dallas, Texas. They talked with them at the Seminar. The pictures from the one-time use cameras provided by the host
club were unusable. If it doesn’t say
Fuji or Kodak, it is second rate film and not suitable for the magazine. For those who use digital cameras, please
use 300 dpi or high resolution. In
terms of the vendors, they are making up a page to thank them. No one took pictures but we will list each
one (we do have a few). We really
appreciated getting the pond tour pictures ahead of time. This is an important step in getting the
Seminar issue out on time. St. Louis WG
Society wants to buy extra issues – we’re forwarding contact information to
Joan & Bob. Also, we need the story
to go with the pictures of the Australian Show. Joyce had a working meeting in Atlanta with Brenda and Tom and
continued (today) with Cindy reviewing articles for Nov/Dec. Tom brought up having Barry Pavelec doing
website for $1500; $500 for maintenance and $900 for web creation per
month. Tom would also like to sell ads on
the website; one of the three proposals was to split advertising revenue 50/50
with them and AKCA. Discussion about
the three options Tom presented regarding website. Burt stated that when and if we do this, we need a number of
competitive bids. Much discussion
followed.
v
MEMBERSHIP: Doug said that he has
received dues checks from 70 clubs with 30 rosters provided; receipts all
sent. Motion to accept
membership application from Santa Clarita Koi & Water Garden Club. Returned member application for club in
Rutherford, TN because there was no evidence it was a koi club. No follow through with Sulma Perez for club
member roster database as of yet. Been
too busy.
v JUDGING: Bob thanked everyone for the Lifetime award that was presented to he and Joan at the Seminar. They were very surprised! He reported that Richard Chessler is back in the program. He complimented Doug on his handling of the Seminar. Going to change Judging Program at the Seminar.
v
SPEAKER’S GRANT:
Burt said that
we have an issue - - John Calfield, from All Florida, submitted a bunch of
bills for a lot of speakers which is contrary to the 6 clubs and lottery
grants, the 6 club & lottery grants are for one speaker’s travel and one
night’s lodging, on a reimbursement basis up to a maximum of $400. Burt proposed that we drop the 6 club grant
as it stands as it excludes at least 75% of all clubs, which was never its
intent and in place of the 6 club grants AKCA could expand the lottery grants
from 4 to 6 grants which would improve every club’s chances and also include
all clubs that qualify. Once a club wins
the grant, the are ineligible for the next 5 years. Any new club must wait 3full calendar years before they are eligible which are the current rules for
the 4 lottery grant. The grants would
continue to be picked by ping pong balls from the 6 regions instead of the 4
regions. Larry mentioned that we
should have a form letter to send out to winning clubs. These rules are the
same ones that were created when the speaker grants were first started. Burt will create this letter.
v
GUIDES: No report.
v
INSURANCE: Burt stated that we have a
problem. Received a letter from Zurich
(general liability & workers comp).
Wants us to obtain certificates of insurance from all subcontractors we
have paid during the policy period of 7/1/2002 to 7/1/2003. Want to make sure our account is properly
credited; will be audited. Right now we
don’t have any insurance certificates on any of our subcontractors. Needs to know how much we’ve paid our
subcontractors.

REPRESENTATIVE CONTACTS:
o Written report submitted by Doug: Matt Healey, of Austin KC, reports they held a successful koi auction in May. Recent club meeting speakers from other koi clubs included Rex Wilroy from Houston and Mac McGreevey. Their club members helped to support the Austin Pond Society Pond Tour. Judy Schwartz, of the Austin Pond Society, reports they held their annual Pond Tour on June 21/22 and had a party the following week for the workers and pond owners. At one dealer they saw 40 inch koi weighing 35 lbs. This month meeting speaker topic will be water plants. Their Pond Tour is coming up in August and will include after dark lighted ponds. This was an unusually cold and steady winter. Many people lost fish for the first time. Janet Vukovich, of Central Calif. KC , reports they are thrilled to be one of the Speaker Grant lottery winners and received more information on the grant from Doug Dahl. America. This is a very good deal for AKCA since Koi America expects 30,000 visitors. Koi
America is getting more press exposure this year and will have a media Press Night on Friday for
local media representatives. Most of the 100 vendor booths have sold. Admission to Koi
America on Aug. 8-10 is just $7 per day for show, auction and speakers. Visit www.makc.com

Seattle where program chair Dick Benbow had arranged for them to have a Bonsai
lesson from John Lust Jr. on Satsuki azaleas.
Mike Przewoznik, of High Desert KoiFanciers, said they are
having their usual pond tours with a grand finale set for September. Most discussion has been on spawning as many
members have been experiencing a heavy spawning season this year. Their club continues to grow with new
members and it is a pleasure being able to help them build a pond that they will be happy with. With this hobby growing in leaps and bounds,
many SEASONED members, including myself, are frustrated with the big box stores
selling these cheap kits to build ponds.
Otherwise, all is well. Carole
tried but was unable to reach Bakersfield K&WGS.
