MINUTES:
Motion: To approve the minutes of October 8th with the following
correction: Date of meeting on minutes
should have read Oct. 8th instead of Sept. 10th. Motion
by Doug, 2nd by Joyce. Approved.

OCTOBER FINANCIAL STATEMENT/FINANCE COMMITTEE:
Doug researched & corrected the Bookstore
Inventory adjustment problem. He also
calculated the current true value of the bookstore inventory and adjusted the
inventory value to be correct. The
inventory items were not initialized in the new set of quickbooks correctly by
him because he didnn’t appreciate that quickbooks calculates based on the AVG
value for each item and not the cost of goods value. The cost for our annual audit has increased from $2,200 to $3,100
due to the problems with our last years taxes, time required to educate Doug on
unrelated business expense for KOI USA and problems with last years financial
statements. Included in this are the
inventory value errors he recently corrected.
The cost to prepare our taxes will be additional. The big problem is our taxes as projected by
the CPA doing our annual review and management letter. Doug sent out an email to provide the KOI
USA data to the Board so you can provide timely decisions on the following 2
issues. Michael is preparing our taxes
and he is obtaining advice from a non-profit tax attorney that is holding up
our tax forms. The finance Committee
met to discuss these issues and is making recommendations to the Board. Motion: An an additional $900 for the increase to
$3100 for the cost of the annual tax audit for annual review & management
letter: total cost to be $3100. Motion
by Harlan, 2nd by Lisa. Approved. Motion: To pay our CPA to review our taxes for
2002/2003 for errors if the CAAs are correct about our 2003/2004 tax
issues. If errors are found, the CPA
will prepare amended taxes for that year.

Approved. Motion: If errors are found in the 2002/2003 tax
forms, we pay our CPA to REVIEW the taxes for the 1999/2000, 2000/2001 &
2001/2002 years for errors. Motion by
Doug, 2nd by Joyce. Approved. If errors are found in the 1999/2000,
2000/2001 or 2001/2002 tax years, the Board will vote on weather to file
amended taxes for those years.
COMMITTEE REPORTS:
v SCIENTIFIC: Spike was absent but e-mailed his report. Goals, including having a hold harmless agreement thru legal review, is still incomplete. He did get Duncan’s CE course underway; great course - - the students are giving it rave reviews. Richard Strange completed a draft of his Bacterial Disease Course. It is currently under review. He did get a Hold Harmless agreement to the lawyer and asked for a report and bill to be sent to Doug; needs to follow up and if need be, switch lawyers. The Portland Lab venue is set for April ’05.

v PUBLICATION: Ed provided Brenda with 2 lists for our survey; 1 for those who have not renewed and the other for current subscribers. She is currently calling non-renewals and has completed 53 of the calls or 1 out of every 10 calls. Many have moved, changed #’s, etc. Comments on the quality of the magazine is very positive. It was suggested that clubs give us info if any of their members are moving; mailer then can be sent to the new home/pond owner to intice them to subscribe to KOI USA. Because of declining subscriptions, Ed would like to hire a marketing person; would like to hire ½ time for a trial 1 year period with the goal of stopping the decline in subscriptions. He has someone in mind who he’ll be talking to. Joan suggested that we should not hire anyone until the survey by Brenda has been completed and we have answers to our questions. It was also brought up that it’s been over a year since we’ve had proposals from several people to update and keep up our website with still no one hired to do this task. He has a new features editor, John Hawley, of Florida. Also looking for a few more features editors.

Koi & Watergarden Club of Ohio & Indians has sent in their application,
money and have fulfilled all the requirements.

people could view the show on the internet.

SEMINAR REPORTS:

2005 TULSA SEMINAR: Ed stated that everything is
quiet. They have gotten quite a few
donations. Hotel rate is $80 per
night. Seminar budget passed out; based
on conservative estimates on income side as well as projected side.

2006 NIAGARA SEMINAR: Doug
stated that they need to work with the hotel on food/banquet.
v 2007 Seminar: Bob

v Future Seminars: There was a request to change date of Seminar to sometime in
October; discussion. It was felt that
our current date worked better for those with families where the kids would be
out of school; also teachers.

Written report submitted by Doug: Janet Vukovich, of Central Calif. KC, reports Art & Nicole Lempke & Debby Hester did a great job as Judges at their koi show. Their Christmas party is Dec. 11th. Doug Gilbert, of Dai Ichi KC, has nothing special to report. All is pretty quiet. John Hawley, of First Coast K&WGC, reports Fred Lieb has taken over as the club AKCA Dir/Rep. Bob Sievert, of Las Vegas Koi Club, reports things have been quiet with their club. They are already planning for their pond tour in May. They had a lengthy club discussion about winterizing their ponds and they introduced their primary KHV representative to club members. David Hester, of Mid Atlantic Koi Club, reports their members are starting to batten the hatches for winter. Their 16th annual koi show was a success. The annual Young Koi Show will be the first weekend in June in Fredericksburg, VA and Wayne Orchard is the event Chair with Art Lembke

VA. Koi America will be August 12-14 at the Dulles Expo Center in Chantilly, VA and Wayne Orchard is the event Chair with Art Lembke and Jim Reilly as the Koi Show Chairmen. David Hester & Bob Bianchi are the Trade Show Chairmen. There will be a ZNA Judging Seminar included at Koi America for the first time in addition to speaker sessions and trade show. For those who are interested in other sites while attending Koi America, the new Smithsonian Air & Space Museum is only 10 minutes from the show site. Complete information for Koi America is on www.makc.com. Dr. James Hooper, of Mendocino Coast KC, reports their club is very vibrant. They did not get their Koi Person of the Year award so requested it be sent to them. The Michigan Koi & Pond Club-SE newsletter reports the club will hold their year end social with awards and presentations at the November meeting. Susan Reed, of Middle Georgia WGC, wants to remind all AKCA member clubs of their open photo Koi Show. Any koi hobbyist may enter 2 koi for each $10 entry fee check made out to Middle Georgia Water Garden Club by sending a 8x10 color photo of each koi plus a 3x5 index card with the size and variety of each koi along with your name and address to: Koi Photo Contest, c/o Linda Maddox, 794 Cherry St., Macon, Georgia 31201. Deadline for entry is January 15, 2005. Winners will be announced at the Cherry Blossom Festival on March 19th. Photos cannot be returned. An AKCA Certified Judge is scheduled to judge this photo contest. Contact Linda Maddox at (478) 751-7411 for more information. Dot Wilbanks, of Moto Kara Koi Kai, reports their October meeting was attended by those who braved the drenching rain. Club members were treated not only to a nice koi pond with koi but also with baby box turtles, bonsai plants and many orchid plants in bloom. Ron Goforth gave a round table discussion on koi varieties and their origin. Also discussed was how the hardness of local water affects the color on koi. The main topic of discussion was the terrible earthquake in the Niigata region of Japan. Club members have personal friends in the area of the quake and hoped they fared well. Bill Greer, of Nashville Pond Society, reports he has had problems contacting the KOI USA subscription service through the 1-888 subscription number to complain he is not receiving his magazines. Doug forwarded this complaint to KOI USA Production Manager Tom Graham and Editor Ed Salinas. Melinda Christopher, of Olympic K,G&WGC, reports they elected new club Officers at their November meeting. George Bahr is now President. Club members also discussed a date for “koi appreciation day” in June. Their club will not meet again until March. Geoffrey Huntley, of Piedmont K&WGS, reports their club Officers will remain the same for another year but club membership is up to 60 families. Timothy Czech, of Pioneer Valley WG&KC, reports the club is working hard planning their first koi show August 6 & 7 at Northampton, MA Fairgrounds. The club thanked Doug Dahl for providing koi show information from past experience. It helped the club get a handle on koi show expenses and procedures. They already have 10 vendor booths sold and some corporate sponsors. The northeast is fertile territory for koi dealers as more people get into the koi hobby. The club is inviting the AKCA officers and Ed Salinas to visit the show to advertise AKCA and KOI USA. Club officers will stay the same for another year. The club is trying to encourage email of the newsletter to save costs but will mail the newsletter if a member chooses. Finally, the Pioneer Valley club members wish all of the AKCA Board a Happy Holidays and thanks them for the help and guidance through the past year. This help has been a positive step in helping the club evolve and grow with a more focused mission to promote the koi hobby. The Rhode Island & Massachusetts KC newsletter reports their new club website is online at www.geocities.com/ri_makc/index.html. The club displayed the koi book materials sent to the club library for club members to review and borrow if needed and the club encouraged all club members to subscribe to KOI USA at the club discount rate of $20 per year. Club members distributed flyers for club meetings at local stores to encourage new members to attend. Members voted on the club logo. New club members have been assigned club buddies to call in case of a problem with their pond or koi. Club members then gave a presentation of Winterizing Koi in our New England Climate. Then club members were shown how to safely and correctly catch a koi in their pond. Richard E. Carlson gave permission for the club to distribute his copyright article Winter’s Effect on Koi, Goldfish & Ponds to club members. Dr. Mark, of Tulsa Koi Society, reports they have received several commitments for vendor donations for the 2005 AKCA Seminar raffle with proceeds to be split 50% with the AKCA KHV Project and 50% for the Seminar. The Ventura KC newsletter reports their October meeting was held at the home of a club member who just completed a new pond of hand laid fiberglass material. The KHA for the club has been helping a new club member with sick fish so the new members do not get discouraged. (Another kuddo for the KHA program Spike Cover has Chaired for the last 4 years) The club contacted Hikari and was able to receive donations of a box of Hikari food for members to try. A club member has a bubble bead filter for a 4,000 gallon pond for sale for $300 (new it was $900). Call (805) 642-1492 if you are interested. The guest speaker for the November club meeting will be Lisa Barnett who writes the Koi 101 column for KOI USA. Lisa will discuss practical ways to deal with power outages and other pond and koi crisis. A club member will demonstrate the Kichi Koi Buffet automatic feeder donated by Kichi Systems to the club for their auction. North Florida Koi Club is not one of the clubs normally contacted by Doug but Todo Todorsky contacted him to invite all
AKCA club members to tune into the second airing of the Koi Club of the Air sponsored by the North Florida Koi Club. The show airs Nov. 10 at 7pm Eastern time on local AM station in Jacksonville 970AM but it is going

out as streaming audio at http://azul.streamguys.com/wnnr. Doug knows this info will not get to the AKCA clubs in time to hear the show Nov. 11 but the show is on the air the 2nd Wednesday of each month at 7-8pm eastern time. The show has a website at www.koicluboftheair.org. The show covers every subject that might interest a koi keeper. And finally, Doug Dahl wishes all of the members of the AKCA clubs a Happy and safe Holiday season. Doug tried to contact the following club with no response: Austin K&GFC; Austin Pond Society; Blue Water Pond Club; Idaho WGS; Las Pampas K&WGS; Lone Star ZNA KC; and, Valley of the Sun KC.

Cal Koi Club held their November meeting @ the home of Larry
Price. Larry joined the club last year
and did research on ponds before building his own. His pond was completed about 3 months ago and is just over 5,000
gallons; it’s beautiful. The club voted
to donate $500 towards the AKCA KHV Fund.
They will be having their annual Xmas party on Dec. 4th with
2 other local clubs. They are also
planning their annual Pond Tour for May ’05.
Bob has been under the weather and was unable to contact his other
clubs.

Written report submitted by Burt: John Hathaway, of Pacific Wonderland
Koi Club, said that their Nov. meeting was the traditional turkey
dinner. The business meeting consisted
mostly of election of the 2005 officers; final plans for the club’s Christmas
party, adjustments in the 2005 host itinerary.
A brief review of a visit to a very sick pond was given. Good filtration system and less than
marginal maintenance. Five of 7 koi had
ulcers which were glaringly apparent only after lifting and bagging them. Discussion followed. There will not be a business meeting in
December. Happy Holidays to all. ZNAOC club voted on donating
$500 to the AKCA KHV Fund at their last meeting; the Xmas party jointly with
Nishiki and So Cal Koi Club was discussed; the club will pay for each member’s
dinner including a guest or spouse and will split the dinner cost with Nishiki
for any dual members since Nishiki is paying for their members’ dinner. Their next year activities include a
possible koi show and annual auction (which was voted to be a joint auction
with Nishiki if they agree) was discussed; need somebody to agree to be show
chairman before planning a koi show (Burt & Doug declined to be
chair). This meeting was at Mark &
Charlene Whalen’s and Charlene’s chili was a hit again as well as all the
desserts. Norbun Watson, of Middle
Georgia KS, said that their newly elected officers will take over in
January. The club decided there will be
no Xmas pond tour, just their usual big Xmas party, a gift exchange and some
entertainers. Henry Cullpepper, of Orlando
Area K&PC, said their next meeting was cancelled so that their membership
can support the North Florida Koi Show which looks to be a very good and
competitive one. They will have their
Xmas party next month; working on the joint Central Florida Koi Show in March. At the September meeting the club library
was auctioned off. With so many members
obtaining information from the internet, use of the club library had
dramatically declined in the past few years.
The club treasury benefited and members were very pleased with the books
and tapes they obtained. The program was
on a typical year in the work of a Niigata koi farmer, a topic now made
poignant by the recent earthquakes. In
October, to recover from post-hurricane blues, there was a Halloween themed
covered dish feast at the home of David & Jalaine Gallion. Their beautiful watergarden was in full
bloom and the view of their koi from the bridge over the pond was a
delight. The program was a question
& answer session with a pond maintenance professional and resulted in lively
discussion of different techniques. Joe White, of Florida East Coast,
said their last meeting was a roundtable discussion about what the various
members did to protect their koi after the hurricanes and no electricity; there
were many innovative ideas by those that didn’t have generators. Their speaker was Margaret Gillen and she
demonstrated how to divide waterlillies; they have created a slate of officers
that should be elected next meeting; decided on not having a Xmas party, just a
regular meeting so that they can have an anniversary party for their club in
January with a gift exchange, etc. Joe
White, of Southern Koi Association, said a meeting is scheduled
for Dec. 4th at the Kanapa Botanical Gardens in Gainesville to work
on the Central Florida koi Show in March.
It looks to be a big show; they already have over 25 vendors signed up
and will also review the by-laws at this meeting. Carole Lee, of Santa Clara Valley Koi, (new
president) is acting as AKCA rep until one is appointed; their officers were
just elected. They will have their
annual Xmas party Dec. 11th; their last meeting they had a
discussion on pond problems encountered by their members. Their next meeting will be a speaker
discussing parasites and what to watch for this time of year and a special talk
on an unusual subject. One of their
members restores old wooden carousels and he will discuss how he does
this. Debby Young, of Southern
Arizona Koi Association, said all efforts are being concentrated on
their upcoming koi show this next weekend, Nov. 12-13th; hasn’t been
any regular meeting. They will have
their Xmas party next month. Kenneth
Wong, of Dallas Koi Kichi Group, said their last meeting they did
a wet lab at a member’s home with their 4 KHA’s running it; it went over well
but they were unable to find any
parasites, HOORAY,
so it was good for the owners but nothing that they could show the
attendees. At their
Xmas party next
month they will have an auction like last year as this was a great money maker
for the club.

They have started planning for next year’s
Koi show which may be at a watergarden nursery. Laura Adams,
of K&WGC of
North Texas, said their pond tour was a success but next year they plan on
it being a two day
event and divided into regions. This one was a big success with a lot of
attendees. The club elections are
next week; now have
68 members and many of the new ones have volunteered for many positions. Their
Xmas party next
month will feature a Chinese gift exchange and a silent auction of the artwork
from their
pond tour which was
a chalk pastel by Walter Ender, one of their members. Laura asked about their club’s
“Koi Person of the Year” certificate as it
was never received and she was the award winner. Lucia Rose, of
San
Francisco Bay KC, said they just did nominations for officers
at their last meeting and elections will be
next month. Their Xmas party will have a Chinese gift
exchange. Their last meeting was a
speaker on
quarantine set ups
and how to set them up on short notice and maintain them; additionally, Larry
Gill spoke
on the latest on KHV. Johnny Foster, of Nature’s Coast
K&WGC, said everything is getting back to
normal from the
hurricanes; only member losses was due to no electricity. The next meeting will be the
club’s 5th
anniversary meeting; they will have elections, a fish sale, raffles, and a
special auction. The
following weekend
several members are going to the North Florida Koi Show to
support that club’s show.
On Oct. 16th several members went
to the First Coast’s Koi Show where Johnny Foster was one of the 3
judges; the Xmas
party is scheduled for Dec. 11 at last year’s site, the fire station. Linda Montgomery, of
Cascade
K&GFS, said their next meeting will have elections and a
planning meeting for the next PNKCA
Convention that their
club is hosting; their Xmas party is next month. The club donated $200 to the AKCA
KHV Fund. Burt tried but was unable to reach Oklahoma
Koi Club.

club’s newsletter reports that they are getting ready for winter. They are charging a $2.00 fee for their
Holiday Party; their next meeting will be in January when they will hold
elections.

Written report submitted by Spike: Dan Phillips, of North Carolina
K&WGS, said they had their Sept. meeting at the home of Dan
Phillips. One of their members took
Grand champion & Reserve Grand champion awards at the ZNA Potomac show in
Sept. The Annual Koi Photo contest is
underway and will be judged by Galen Hansen at the Charlotte Koi show. Judging for the first phase of their 1st
Annual Tosai Contest will also be in Nov. for the tosai with the most
growth. Bob Caruso, of Camellia
KC, said they are putting on a full koi show Nov. 6-7th. It will be at Green Acres Nursery in
Roseville. Ray Jordan, of Texas
K&FGFS, said they are planning their annual holiday party-a potluck
dinner. Rosie & Eddie Elizondo will
be hosting; will be on Dec. 18th.
The club is furnishing the meats and soft drinks. They will also have the take away gift game.

Written report submitted by Larry: Barb Campana, of the Madison Area Pond
Society, said their next meeting is Nov. 12th and the topic
will be on pond plants for problem situations.
It will be the last meeting of the year for them and the next meeting
will be the 2nd Tuesday in January.
They will be discussing their booth at the Madison Garden Expo in early
February. Ron Carter, of Prairieland
K&PS, said their club meeting will be held on Nov. 13th
and will be their annual banquet. They
will have club t-shirts for everyone that attends. They will have a few ice-breaking games to put everyone at
ease. This will be their last meeting
until February. Also, the club was
given 25 large koi that were sold to various club members and the Zoo where
they maintain the pond, also bought 11 of them; all the proceeds went to the
club for expenses of the banquet and to help with the club purchasing a lap top
computer. It was a great event catching
all those koi and transporting them. It
took five of club members all day to get the job done. Melissa Jackson, of Cherokee Strip
Water Garden Society, said they won’t meet until March or April. No report from Central Illinois Water
Gardeners, Gulf Coast Koi Society, Mid-Michigan
Pond & Water Garden Club, Ohio Koi Club, St.
Louis Water Gardening Society and West Plains Water Gardening
Society. These last clubs must
be shut down for the winter.

Written report submitted by Kelly Houston: Inland Koi Society’s
next general meeting will be Sunday, Nov. 21st at the home of Chris &
Margaret Ludwig. He has 5 ponds; 3 of
his ponds are built of blocks at the entrance to his backyard. One is 12x12 with 17 koi; another is 12x15
with 60 koi and a few goldfish and the 3rd is 14x3 with unknown
amount fish. Farther into the yard are
2 more ponds; one is 8x9 ½ x2 ½ with 15 koi and a 4x8 goldfish pond in the back
of the property. He has an aquarium
with about 100 3 month old baby koi and another container with year old
babies. Elections will be this month.

Goldfish & Carp Assoc., has just returned from Japan. He & Adele were there during the huge
earthquake they had two weeks ago. The
koi farmers were hit very hard. Dave
Peebler, of Koi Club of Kansas, said that not much has been going
on. They are not having meetings Nov.
& Dec. They will begin their indoor
workshops in January. Bob Waag, of Florida
West Coast K&WGC, described a progressive diner going from one
member’s pond to another. They not only
enjoyed the food, but seeing the various ponds as well. They are firming up plans for a Christmas
party. Ginny Lee, of Washington
Koi, sent the names for the 2005 Club Officers. Their October program was “Dragonflies” by
Dr. Dennis Paulson. Nov. will be “Bonsai”
by John Muth from Bonsai Northwest and a private screening of a movie “The
Making of Shimono Pond. Their members
are engaged in preparation for another WebLab to take place in the spring. David Marier, of Atlanta Koi Club,
reported that Michael Anderson will be the new AKCA rep. He also said that last weekend several AKC
members traveled to Charlotte for the 7th Annual PKWS Koi Show. Dr. Galen Hansen was the Head Judge assisted
by Dr. Lester Berkow and Bryan Bateman.
Vicki Krill, Jason Montgomery, Jay Drew & David took fish & were
pleased to win several Best in Variety awards, President’s Awards and a
Friendship Award. Their new President
is David Boyd, VP Charlie Atwell, Sec. Vicki Krill, Treasurer Ron Scott &
property manager Jerry “Shorty” Hord.

K&WGS, reports that the August meeting was held at the home of Gail
& Sheila Hinshaw. The meeting was an open
forum with questions and answers about pond care, filters, algae control and
fish care. In Sept. the meeting topic
will be filter construction, and how to hide the filter. Ralph McGowan, of the Inland Empire
WG&KS, reports that the club held its 5th annual Koi
show on August 28-29th at the Spokane Fair & Expo Center. He also reported that Ray Jordan, lifetime
member, newsletter editor, and board member passed away. Ray will be missed by all who ever had the
pleasure of meeting him. Judith Minor
Roberts, of the Mountaineer K&GFC, reports that the club’s 2nd
Annual Koi show was held on July 27th. Charles Phelps was the judge.
The club also had a pond tour featuring seven member ponds. The August meeting was held at the home of
Eugene & Rose Holt. It was the
awards dinner for the koi show,. Greg
Bates, of the Capitol Area K&WGC, reports that the club’s
annual pond tour was held on July 24-25th. The tour was pushed back one week this year so as to not compete
with the Lansing Area Garden Tour.

Middle Tennessee had their final meeting for 2004 on Oct. 24th
& the new officers for 2005 were approved.
The next meeting will be in January, 2005. Ed tried but was unable to reach Cyprinus Society of Nevada;
Placid Pond & Koi Assoc.; and Santa Clarita Koi
& Water Garden Club.

Motion: That hotel contracts
shall have the approval and signature of the AKCA CFO prior to signature on
behalf of AKCA. Motion by Doug, 2nd

Motion: That the CFO shall
present the terms of Seminar budgets & hotel contracts to the AKCA
Board. Presentation shall be prior to
their approval, if time permits. Budget
presentations must include number of attendees assumed, number of vendors
assumed, package & event costs, income & expense totals and net profit
projected with comparison to past Seminars.
Hotel contract presentation must include cost of a room night, number of
total room nights guaranteed and cost of food guaranteed in the contract after
maximum allowed adjustments with comparison to past Seminar actuals. Any other unusual contract issues should
also be discussed. Motion by Doug, 2nd
by Harlan. Approved.
Motion:The AKCA Seminar will be held the last week of June of each year
but not into the 4th of July weekend. Motion by Doug, 2nd by Lisa. Approved.
